How to review enrolment requests

When a parent or guardian signs their child up to join your school on KiddyCash, the system creates an enrolment request. This request sits in a queue until you — the school administrator — approve or decline it. No student is added to a class automatically.

This article walks you through opening that queue and understanding what you are looking at.

What is an enrolment request?

An enrolment request is a record that says: “A family wants to link their child to this school.” It includes the child’s name, the parent’s contact details, and the class they have applied to join. Until you act on it, the child’s KiddyCash wallet remains unconnected to your school.

Before you start: Make sure you have at least one class set up. If you have not done this yet, follow the steps in How to create a school class before reviewing requests — you will need a class to assign students to.

Opening the enrolment request list

  1. Log in to the KiddyCash Schools portal using your administrator credentials.
  2. Replace :school_id in the URL with your school’s unique ID (visible on your dashboard under School Settings).
  3. The page that loads is your Enrolment Requests list. Every pending request from families appears here in chronological order, newest first.

Understanding the request list

Each row in the list represents one child. Here is what the columns mean:

ColumnWhat it shows
Student nameThe child’s full name as entered by the parent
Parent / GuardianName and contact of the adult who submitted the request
Requested classThe class the family selected during sign-up
Date submittedWhen the request was created
StatusPending, Approved, or Declined

Requests with a Pending status need your attention. Approved and declined requests remain visible for your records.

What to check before approving

Before you approve a request, confirm the following:

  • The class exists and has capacity. Open How to view a school class to check current enrolment numbers.
  • The student details look correct. If a parent in Nairobi registered their child with a nickname or a spelling variation, reach out to clarify before approving.
  • The family’s KYC status. KiddyCash requires families to complete identity verification before a child’s wallet can be activated. If KYC is incomplete, the request will be flagged.

Actions you can take

ActionWhat happens
ApproveThe child is added to the selected class. Their wallet becomes linked to your school.
DeclineThe request is rejected. The family is notified and can reapply.
Request informationYou can leave a note asking the parent to clarify details before you decide.

Once a student is approved, parents can fund their child’s KiddyCash wallet — using M-Pesa, card, or bank transfer — and the child can begin participating in your school’s financial literacy programmes.

Helping families understand the value

If parents ask why their child needs a KiddyCash wallet, point them to resources like why investing is a concept kids can learn younger than you think or how to explain investing to a child without the jargon. These can ease hesitation and encourage faster sign-ups.
