How to view a school account balance
A school account is the central wallet KiddyCash creates for your school when you register on the platform. It holds funds that flow between your school and the families you serve — for example, fees collected from parents in Nairobi who top up their children’s wallets using M-Pesa. Keeping an eye on your balance ensures you can reconcile payments, spot discrepancies early, and stay on top of your school’s financial activity.
This article walks you through opening a school account and reviewing its live balance and status.
Before you start
Make sure you have:
- A verified KiddyCash Schools portal account (KYB verification must be complete)
- Your School ID — a unique identifier assigned to your school during onboarding. You can find it in your school profile settings.
- The School Account ID — found in the Accounts section of your dashboard, listed alongside each account your school holds.
What is KYB? Know Your Business (KYB) is a verification process KiddyCash uses to confirm your school’s legal identity before allowing financial activity. If your KYB is still pending, contact support before proceeding.
Steps to view your school account balance
-
Log in to the KiddyCash Schools portal using your registered email and password.
-
Navigate to Accounts using the left-hand sidebar. The Accounts section lists every account linked to your school.
-
Select the account you want to review. Each account is listed by name and account type (for example, Main Collection Account or Disbursement Account).
-
Open the account detail page by clicking the account name. This takes you directly to a URL in the format:
https://kiddy.cash/school/:school_id/account/:school_account_idReplace
:school_idwith your School ID and:school_account_idwith your School Account ID if you are navigating there directly. -
Review the balance panel, which displays:
| Field | What it means |
|---|---|
| Available balance | Funds ready to use or disburse immediately (in KES or your school’s set currency) |
| Pending balance | Payments received but not yet cleared — common with M-Pesa settlements |
| Account status | Active, Suspended, or Under Review |
| Last updated | Timestamp of the most recent transaction or balance refresh |
- Check the account status. If the status shows Suspended or Under Review, your school cannot send or receive funds until the issue is resolved. Contact KiddyCash support with your School ID for assistance.
Understanding pending balances
A pending balance appears when a payment has been initiated but has not yet settled. This is common in mobile money environments — for instance, when a parent sends school fees via M-Pesa, the funds may show as pending for a short processing window before becoming available. Pending funds are not available for disbursement.
